Suggestions for the agenda

Check out a draft of the Detailed agenda GA 2008

  1. please note that I left out the verification process, since it is a decision that should not be limited to BV members only; there will be a poll to finalize it in the week before the GA, so implementation can still start during the GA;
  2. the same is true for the local groups and the BW group structure; brainstorming during the GA is fine (as long as we have the time), but results have to be shared with the community and integrated in further discussion within the whole community;
  • Make a GA decision if we want to try to apply for the European Voluntary Service (EVS). Who is going to do that?
  • Decide upon a decent license for the Wiki Content. So far we don t have any license. See Forum (restricted to BW Volunteers)
  • Decide upon a verification process, either no. 1 (Verification and verification volunteers (Proposal 1)) or no. 2 (Verification Network (Proposal 2)) and start the implementation on the GA
  • Implementation and further organisation of the local groups and the BW-group structure itself
  • A "One Year Plan" or a "Two Year Plan" for BeWelcome. This will include:
    • Growth estimates
    • Financial estimates
    • Project estimates (estimate which projects we will be able to acheive within the next year or two)
    • Any other goes we might have for BW
  • website admins: how many / who / which powers and tools. Right now we have two admins (Hannu and JY) who have full power over all administrative tools. The powers and people in charge have never officially be discussed / decided - guess it's time to make this a bit more transparent to our members.

Minutes of the General Assembly 2008

Obligatory points on the agenda

Election of the board of directors

I am curious about next years BoD work - so I'm gonna start and ask some questions to the candidates - would be happy if others join in and the candidates answer, it it becomes too crowded we can move it to the talk page.
  • first a general question to the candidates who had already been on last years BoD: In which aspects do you want to continue your past work, where do you think of changing and refocussing? user|philipplange 18:05, 5 June 2008 (UTC)

I would probably continue with following all discussions going on, trying to push here and there for a conclusion and documentation; secretary work was fine for me last period, but that depends on the new BoD, of course. For the new period I would like to focus a bit more on establishing a regular exchange with team coordinators and volunteers; Claudiaab 11:51, 6 June 2008 (UTC)

Since this will probably be my last year as a candidate for BoD, I will probably spend a lot of time finding better ways of organizing our tasks. Creating some well-defined procedures and working more closely with other volunteers and teams. This year has been quite a challenge with such a big BoD (9 members) and there has not been so much time for setting up routines. I would like work on that, and improve communication with the "outside" world. Thorgal67 18:18, 6 June 2008 (UTC)

• another general one: what kind of working environment would you like to see the BoD working in - be-weekly skype meetings as in the past or some different way? user|philipplange 18:05, 5 June 2008 (UTC)

that really depends on the whole BoD; I found the skype meetings every other week useful, since otherwise you feel a bit alone out there ;) - not sure if and who it would be possible to completely do without regular skype meetings, but we brainstormed a bit in the last BoD meeting and I'd be willing to try. Claudiaab 11:51, 6 June 2008 (UTC)

I was quite happy with the way we did it last year: having a formal BoD one week, followed by an informal one the next week. But this proved to be difficult for some BoD members and it was almost never possible to get a full BoD present. So I agree that we can try to have a different approach, with several informal meeting, and one big BoD once a month. I would also like to see team coordinators or active team members to join us as delegates. Thorgal67 18:18, 6 June 2008 (UTC)

• are your working goals really at the heart of the BoD work or do they rather belong to teams (eg volunteer coordination, legal, media) or should we forget about those (anyhow non existing) teams? user|philipplange 18:05, 5 June 2008 (UTC)

Well, of course there are overlaps, but keeping an eye on current developments is I think BoD work; volunteer coordination could be out of BoD, but then it also makes sense to have it overlap; I think this is a bit of an artificial question... Claudiaab 11:51, 6 June 2008 (UTC)

As a member of the BoD I do not interfere in the running of teams. If however there is a conflict, it is my duty to try and settle the dispute. Regarding "non-existing teams" as you put it so nicely, I'm not sure I can do anything more than ask around. Thorgal67 18:25, 6 June 2008 (UTC)

• would you, and what kind of action would you take if core aspects of a BV project (BW for now) are not taken care of (as it happened in the past and right now)

another rather hypothetical question, since it really depends on what exactly is the problem; Of course I would try to find a solution, but as for a new server admin, for example, the BoD can't do much more than everybody else, i.e. talk to people and try to find somebody. We talked a bit about it in Berlin and it turned out that there were two possible candidates. We will have to see now, if there has been some progress; So I would definitely try to work out something, and if there is no improvement for a longer time it is of course task of the BoD to look for new solutions (maybe find sb. we would have to pay in that case) Claudiaab 11:51, 6 June 2008 (UTC)

I would certainly bring this to the attention of the BoD and put it on the agenda. Depending on the nature of the problem I would then invite other volunteers or external people who could help us with solving the problem. But decisions like approving a new server admin for example, are not the task of the BoD. I'm sure the Dev Team are more than capable of making that decision. Anyway, I plan to have a talk with all BV members (regardless of whether I'm re-elected or not) to see what our main challenges are. Thorgal67 18:25, 6 June 2008 (UTC)

Candidates

''This will probably be my last year on the Board, if elected. First of all because I want to offer some continuity during the next year, which will probably be our most difficult one yet. But I am also in favour of change and new ideas, so I hope we can find motivated members who want to take over some of the administrative tasks. If elected, I will do my best to find sponsors, do more to communicate with the world outside BeWelcome, and try to be a contact point for volunteers. Looking back to the previous year, I believe we have come a long way, but it hasn't been easy. But we have creative and diverse members, and together I believe we can accomplish a lot. I want to be part of that''

I still wants to see BW growing and really starting it's activity. If elected, I will do my best to help new people to become volunteers, and if I see there is enough fresh new serious motivated volunteers with enough motivation to join the BoD and spend time for BoD weekly meetings and actions, I will be please to be replaced. In anyway, I will be active in the programming area

BeVolunteer has concentrated on the running of BeWelcome in the last period and apparently neglected its own development a bit. While it is very desirable to ensure that all volunteers can take part in democratic decisions, we have to take care that we will always have enough volunteers to ensure the future of BeVolunteer. If elected, I would like to work on ways to make membership in BeVolunteer and a longer term commitment to volunteering more attractive. Finding a solution to this will be the challenge for the next period and I hope there will be a lot of feedback on this from all of you.

''I believe that BeWelcome is not yet at the level where its structure and maturity are strong enough to feel that the boat can follow safely, so I still wish to work on it; I am applying to an administrative work with the aim to make easier the involvement of new persons in the BoD. Even if I wish to participate in BV and BW volunteering, at the measure of my possibilities (for example I would love to work more intensively on exploring new fields for BW, especially openning doors to other kind of people), I specificly apply to the BoD to assume administrative and legal background. As a consequence, I hope that new people will join the BoD to bring new energy and new ideas and give another step to the future!

BeWelcome will enter a crucial phase the coming year: Will we reach a tipping point in number of members? I expect that many of the problems facing similar organizations will come to BeWelcome as well. As a member of the board of directors I want to work on the (political) foundations of the organization itself: Vision, transparency, responsibility, safety, etc. I will also try to translate academic findings on hospitality and trust networks into actions that truly improve our network. I see myself more as a communicator the coming year, listening to members and non-members alike, blogging from the "inside" of the BoD and trying to sort out the different great ideas that people have. On a practical level, I hope to be able to sort out some things that have been left hanging, like the blogs, the BeVolunteer (Joomla) homepage, etc.
