Location and Date

5th-6th May, 2007

The GA was held in Brussels, at Gregoire's place.


  • 5th of April: official convocation
  • 18th of April to 2nd of May: online preparation
  • 3rd and 4th of May: the BoD prepares the documents for the GA
  • 5th and 6th of May: GA in Brussels


  • online GA preparation (1 or 2 weeks), real life actual GA
  • the GA preparation will allow debates and will eventually realize votes in order to preselect decisions which should be taken during the GA.
  • the content to be voted during the GA will be available during preparation time, so GA participants already know these texts when voting.

Note: the preparation aims to make the GA shorter and more efficient. It will be a transition between our permanent online work and decisions to take in a limited time. The less time it will take to vote things, the more interesting the GA will be in terms of talks and workshops.


1.New Statutes

  • vote if the GA accepts the new statutes (based on the results of the preparation of the GA)
  • vote of "normal members" to implement the changes
  • validation of the Internal rules

  • vote of the 2007-2008 budget (debate happening during preparation of the GA)

3.Election of new BoD


I apply to be a member of the BoD, simply to keep on my involvement in building BV. I believe so much in this project, that's the reason I put all my free energy here. My best satisfaction is when I hear remarks pointing that indeed BV doesn't have chief, doesn't have anybody at its head, that we really work together following some ideals we work each day to reach little more... And that works, we rock with BeWelcome.

I want to spend one more year on following that adventure, and I will add one more goal: I think that in one year BV should be mature enough so any volunteer could join the BoD, lots of new people join BV, and the old elephants we are (the actual BoD) leave the place, and everything keep on working with each day more motivation and coherent team work. This is the challenge of a sustainable system for our organization. I'm sure we'll reach it.

Since I have already put a lot of time and energy in BeVolunteer, I would like to make sure that everything will work out, that enough volunteers take on their responsibilities and that enough of them get enough enthusiasm and insight to help running BeVolunteer in the future. Working together in a team means responsibility but even more it means to learn from each other, to be creative, to get to know your strong and your weak points and last but not least it means to have a lot of fun, too. I enjoyed the working atmosphere in the past BoD a lot and would give it another go. I'd love to see some new faces in the BoD as well as some old of course.

I have always enjoyed working with other people in a democratic and constructive way, and I am proud of my first year working together to start BeVolunteer from scratch. We have had our challenges and differences, but we managed to overcome them despite warnings from other people that a democratic process wouldn't work. I want to finish the job and prove to them that they were wrong. Together we can accomplish more

''I want to see Bewelcome really start in the following months, and stay (which is the case currently), in its current tracks : aimed to hospitality exchange and people understanding, collective work, non profit, democratic, care of people privacy and legal aspects. So for one more year, I want to be in the BoD (for the following years I don't plan to be a permanent BoD member, new people will be needed).

''Having researched and written my bachelor dissertation about the effect hospitality exchange networks can have on the travellers experience there is no need to say I entirely believe in this project and am happy to contribute to its success. The last months were devoted to setting up the website and building teams. And there is so much to do! ''I apply for the Board of Directors primarily with focus on helping in some areas where I have extensive experience and believe that they will become crucial for our success: volunteer motivation, public relations (communication to members, the public, media, other networks for cooperation) and leadership through careful listening and precise action. I also apply because I believe it is now essential that new volunteers join the board of directors, supporting and continuing all the hard work the project founders have been putting in, giving it a fresh wind of new ideas and approaches.

''Even though I can't call myself a founder, I feel strongly committed to BeWelcome - our new project - because I searched for years now for a possibility to create a hospitality exchange project that's democratical and open and that wants to bring humans together. Now that I feel that I found something that could lead me there, it's maybe time to take over some responsibility. As a student I still got enough time to do so. I was part of the design, layout and usability efforts of BeWelcome from the beginning and as part of the BoD I think I could hold the connection to this important part of the project. What I like to show with our website is openness and new solutions for hospitaliy exchange. Like this we can't only make it easier for us to find friends all over the world but also to attract more and more people to our idea.

I have a desire to see BeWelcome become the best hospitality exchange organization, and for that reason I wish to help where I can. Although I am already in several teams I still feel that I have more to give. Furthermore, the involvement in the different teams has also provided me with experience and knowledge of the workings of BeWelcome and BeVolunteer, which I count as a distinct plus for a member of the BoD. My main forces for a part such as this are my analytical and critical skills, developed mainly through my philosophy study.

I can contribute to BoD work using my hospitality exchange volunteering experience (I have volunteered for translation, geo cleaning, spam check, comment check and spam abuse in HC and now am coordinating the work of translation team in BW). I also feel that some 'not-western-european' approach (and I am obviously not a western european :) can be useful for BoD's work to get a wider picture (in general, I believe that we should strive to represent different continents here. But this will be the great future). In my everyday work (project management in a linguistic company) I coordinate efforts of different people and quite often help my colleagues to get to agreements and I think it is a useful quality for BoD. I understand the challenges of BoD duties but I am very enthusiastic about this work.

We have come a long way with BeWelcome and I never regret joining the opposition at the infamous Dresden HC coordination meeting. But the past is not important, the goal now is to finally have BeWelcome grow and unite people from all over. There is still work ahead, but I have not the slightest doubt that we will make it. I enjoyed setting up BW and want to continue giving input in the BOD. I can offer a strong background in computer science, organizational management and expertise about virtual communities and tourism on the web. As I am in the final phase of my Ph.D. studies, I am quite busy these days and cannot join in at Bruxelles, but hope you all have wonderful and productive days.

Application for BoD

If you want to be candidate, following the actual statutes you need to be a Junior member, i.e. member of BV for more than 3 months. You should just write your name here. It's important that you declare your application before the GA so that people who will not attend the GA can have an opinion of who to vote for. Please write a very short text stating why you are applicating.

Note that the functions within the BoD (delegates or special responsabilies) are not subject of this vote and will be chosen by the BoD itself, as internal vote.

Details about votes

(Following our statutes). Reference date for memberships: 05.05, 2007. Legal creation of the NGO: 11.09.2006

  • "Friends": membership started between 05.02.2007 and 04.05.2007: meenzer, wired-wokman, playschool, kost, flohfish)
  • "Junior members": membership started between 05.05.2006 and 04.02.2007: 34 members. (or 25)
  • "Normal members": membership started before 04.05.2006: 0 following the definition. This is a problem, which would require an interpretation. One which could be acceptable would be to state that founders (9 persons), since being at the origin of the NGO, should be considered as normal members.

Delegating your vote

If you can not attend the GA in Brussels, you can still delegate your vote to a person who will be there and whom you trust to vote in your name.

It's very important that you do such, so our decisions are really representative of the opinion of the whole members. Also, a high participation of our members is a proof of quality regarding other partners.

How to proceed?

First, enter in contact with the person you chose, since this person will be allowed to represent only one other person than him. So make sure that he is not already representing anybody else.

Then, send an email to info@bevolunteer.org with the following information:

I, (your complete name), member of BeVolunteer, known as (BV username), delegate my vote to (name of the delegate you chose), member of BeVolunteer, known as (BV username), for all the votes cast during the General Assembly of BeVolunteer on May 5th-6th, 2007. Done on (place), the (date)

Documents the BoD has to prepare...

  • Accounts and budget (treasurer delegate: Marco)
  • Detailed agenda (secretary of the GA: Claudia)
  • "Annual report 2006-2007" (secretary delegate: Pierre-Charles)
  • and of course statutes and internal rules

Responsibilities during the GA

  • Claudia as secretary of the GA, will be responsible of running the Agenda and manage minutes of everything. It doesn't mean that SHE has to make the minutes, of course. Pierre-Charles, secretary delegate, won't be present at the GA.
  • Frank as executive delegate is in charge of checking the validity of the voted documents, and to make sure that votes are realized in the fair way they should
  • Marco as treasurer delegate is in charge of presenting the accounts and providing any eventual detail or further requested related document or information
