Bo D Meeting 06.11.2013

This meeting was an informal meeting, mainly aiming at establishing the different positions for this BoD period

The BoD Positions have been unanimously but after long discussions distributed as follows:

2. Transparency

For our first BoD meeting we used a public channel on IRC. One member interpreted this as an invitation to join the meeting or at least be present. We politely asked the member to leave the chat, since several members of the BoD did not feel comfortable discussing the BoD positions in public and finally took the meeting into a private channel. We understand the desire for transparency, but transparency can't endanger privacy of members. We believe that transparency is realised by publishing the minutes and the results of meetings. In general we are fine having some public BoD meetings during the next time, but not for sensitive issues (e.g. BV applications).

3. Task list

3.1. immediate tasks

  • update BoD wiki page
  • give information about BoD positions to the newsletter team
  • write a community blog post about the new BoD, thank the old BoD
  • change the email address bod@ (meinhard)
  • contact sitarane about ombudsman
  • contact jilrev about transfer of treasurer issues (Johannes)
  • get access to documentation (Claudia) and check archiving options for sensitive data
  • get access to BV website admin accounts (contact crumbking)
  • pending BV applications, get applications and procede
  • review aplications for BeActive campaign and assign the funds

3.2. (longer-term) tasks derived from the GA

  • define a procedure for BW members to approve of the new ToU
  • take care about the new wording for the 'help that project' item in the side menu (make the possibility to donate and to volunteer more visible)
  • write an emergency plan for sudden influx of members
  • get a second (and third?) server
  • set up a Spam Check Team (or have it ready once we need it)
  • review the rules for the BeActive Campaign after the first round
  • rewrite 'get active' page
  • feature one volunteering team per newsletter
  • set up a job board
  • think about an organigram to visualize the working of different teams, BV and BW
  • review privacy policy (and check with lawyer)
  • explore possibilities for cooperation with other international organizations (eg. student organizations) (especially to promote BW in non-European countries)
  • explore the needs of local communities (invitation tools?)
  • decide on the need of an ombudsman and define the role in such case
